Quick Answers

Prop Companion for landlords, in brief

What is Prop Companion?

Prop Companion is AI-powered property management software for rental owners. Rent collection, tenant screening, leasing, maintenance and vendor work orders run from one web dashboard. It is a tool the landlord operates — not a management company that takes over the property — and it is based in Dallas, Texas, serving the Dallas–Fort Worth metroplex.

Who is it for?

Independent landlords with a single rental or a small portfolio who self-manage, and real estate investors with several doors. Tenants and vendors each get their own portal, but the landlord holds the account and makes every decision.

What does it cost?

A flat monthly fee per property — billed month to month, with no setup fee, no long-term contract and no percentage taken from rent. There are two plans: a base plan for owners who self-manage, and a higher plan that adds hands-on leasing help. Current prices are on the pricing page.

Does it collect rent?

Yes. Tenants pay rent online through their portal and the funds route to your connected account, processed through Stripe by card or US bank transfer. Payment status and history show in your dashboard, so you are not logging in to check who has paid.

Does it screen tenants?

It gives you the workflow. Applicants apply against your listing, you review each against your own written criteria and approve or decline, applicants are notified automatically, and every document stays on file — see tenant screening for landlords. The decision is always yours.

How does maintenance work?

A tenant describes the problem in plain language. The AI maintenance assistant identifies the category, gives safe do-it-yourself steps and is available at any hour. If that does not resolve it, the system drafts a work order and routes it to a vendor. You approve the quote and the cost before work goes ahead, and Prop Companion adds no markup to vendor invoices.

How is it different from traditional property management?

A traditional property manager takes over the property and usually charges 8–12% of monthly rent plus separate leasing and renewal fees. Prop Companion is software you run for a flat per-property fee, with you approving every applicant, repair and expense. The higher plan adds optional hands-on leasing and turnover help, but control stays with you. The cost comparison shows the difference over a typical hold.

Who It's For

Self-manage without it taking over your week

If you own one to a handful of rentals and manage them yourself, the work rarely stops — a slow drain at 10pm, chasing a rent confirmation, re-typing the same email to a new applicant, coordinating a make-ready between jobs. Prop Companion is landlord property management software that automates the repetitive parts and keeps the judgement calls with you.

It is not a management company taking over your property for a cut of the rent. It is the platform a small landlord uses to run leasing, rent, maintenance and vendors from one place — on a flat monthly fee per property.

What It Handles

Everything a small landlord juggles, in one dashboard

The recurring work of a rental, handled or automated.

Rent collection

Tenants pay online; funds route to your account. Payment status and history sit in your dashboard, so you're not logging in to check who paid.

Tenant screening

Applicants apply against your listing. You review them against your own criteria and approve or decline — see the tenant screening guide for the full process.

Leases & onboarding

Approved tenants move straight into lease setup, deposit and move-in steps. Lease-expiration alerts flag renewals before they lapse.

Maintenance tracking

Every request tracked from report to completion, with the AI assistant handling first-line diagnosis and DIY steps before anything becomes a job.

Vendors & work orders

Vendors register and are approved before they get work. Jobs are assigned, quoted, and approved by you; invoices and receipts are stored against the property.

AI support

The AI maintenance assistant answers tenants instantly, any hour, and drafts the work order when a fix is needed — how it works.

Owner Control

Automated where it's routine, your call where it matters

The point of automating the busywork is to make sure the only things reaching you are the ones that need a decision. Those stay entirely with you:

Approving or declining every rental applicant.
Approving vendor quotes and any maintenance spend.
Setting rent, lease terms and renewal decisions.
Confirming whether a repair actually resolved the issue.

Rent is paid to your connected account, not held by a third party, and there is no long-term contract — you can change plans or cancel at any time.

Small Portfolios

Whether you have one door or ten

One or two units

You are the after-hours call. Automating first response, rent tracking and notifications is what makes self-managing sustainable alongside a job.

A growing portfolio

The same routine per unit takes less of your time, so adding the next property doesn't double the workload. Every property, tenant and work order lives in one view — see property management for real estate investors for the portfolio side.

Reporting across the lot

Rent collected, maintenance spend and occupancy roll up across your properties, so you can see how the portfolio is doing without a spreadsheet.

Pricing

One flat fee per property

No percentage of your rent, no setup fee, no contract.

Prop Companion charges a set monthly amount for each property you manage — the base plan covers the software and portals, and the higher plan adds hands-on leasing and turnover help. A flat fee stays predictable as your rents rise and as you add doors, unlike percentage-based management.

FAQ

Landlord property management FAQ

Common questions from independent owners.

Yes. Prop Companion is built for owners with anywhere from one door to a small portfolio. Self-managing landlords with one or two units get the most out of automating rent tracking, first-line maintenance response and tenant notifications — the parts that otherwise eat evenings and weekends.

A traditional manager takes over and charges a percentage of your rent plus leasing and other fees. Prop Companion gives you the software and workflows to manage the property yourself, on a flat monthly fee per property, with you approving applicants, repairs and spend. The higher plan adds hands-on leasing help if you want it.

Tenants pay online through their portal, and funds route to your connected account. Payment status and history are visible in your dashboard, so you are not logging in to check who has paid.

Always. Applicants apply against your listing, you review them against your own criteria, and you approve or decline. Prop Companion structures and records the process; the decision is yours.

The AI maintenance assistant reads the description, gives safe do-it-yourself steps, and — if it is not resolved — drafts a work order and routes it toward a vendor. You confirm the fix and approve the cost. The full flow is on our guide to how AI property management works.

Vendors register on the platform, upload their credentials, and are approved before they receive work orders. When a job is created, the right vendor is assigned, submits a quote, and you approve or reject it — the invoice and receipt are stored against the property.

A flat monthly fee per property, shown on the pricing page — no percentage of rent and no setup fee. For how that compares to percentage-based management, see how much property management costs.
